Position and Responsibilities Overview
This position will oversee and administer leave request and accommodations requiring specialized attention, particularly those arising under Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), Colorado Family and Medical Leave Insurance (FAMLI). Following state and local leave laws, and short-term or long-term disability plans while assisting in Benefits, administration of benefits, as well as in-house payroll audits, some payroll processing functions for 1400+ employees using Viewpoint and Great Plains. Must possess accurate data-entry skills and apply critical thinking ability within all aspects of the position.
Responsibilities:
- Communicates with employees regarding their needs for leave and/or modified work schedules.
- Handles the FMLA leave administration process from the employee’s initial notice of the need for leave to work the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA/FAMLI-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
- Maintains reasonable communication with employees on leave to facilitate smooth and timely return to work, relays communication between employees and their managers during leave within reason.
- Advises managers and employees on the interaction of leave laws with paid time off, workers’ compensation, and short-term and long-term disability benefits.
- Oversees the return-to-work process for employees returning from extended FMLA-FAMLI, workers’ compensation, or other leave(s).
- Facilitates other leave requests, which may include accommodation requests under the ADA.
- Administers other company time-off programs such as PTO and HFWA as assigned in accordance with internal policy and applicable laws.
- Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
- Preserves confidentiality of employee medical documentation and files.
- Maintains knowledge of all applicable leave and accommodation laws including the FMLA, Colorado FAMLI, ADA, and state and local laws.
- Collection and tracking of benefit premiums while employees are out on leave.
- Administration of benefits ending and reenrolling around leave schedules and past premiums.
- Reporting on the status of benefit premiums regarding employees out on leave.
- Benefit administration such as overrides, auditing, GL reconciliations, dependent verification, EOI for new enrollments.
- HRIS data entry for benefits upon eligibility.
- Maintain and understand employee work location set up for SIT/SUTA/Work Comp.
- Assist Payroll/Benefit team with open enrollment – on site project visits.
- Performs other related duties as assigned.
Qualifications:
- Extensive knowledge of the leave requirements and other legal protections afforded by FMLA, ADA, Colorado FAMLI and other applicable laws.
- Excellent written and verbal communication skills.
- Excellent analytical and problem solves skills.
- Excellent organizational skills and attention to detail.
- Proficient in Microsoft Office Suit or similar software.
- Bachelor’s degree in Human Resources or equivalent related field experience.
- Three years of Human Resource experience preferred.
- Completion of specialized certification or training on FMLA/leave administration a plus.
